One of the key roles that the Office of Academic Advising plays is in supporting students on conditional enrollment — students who are in academic difficulty and may benefit from additional guidance and structure in order to improve their academic performance.

As soon as students are placed on conditional enrollment (CE) following poor academic performance (below 2.00 term GPA) in a particular semester or for academic conduct reasons, they are apprised of their CE status, along with their faculty advisor(s), their athletic coach(es) (if applicable), and key administrators and support staff across campus (from academic advising to the registrar, the dean of students, and student accessibility and support services).

They are also apprised of their CE conditions, which limit their academic course load to 2.00 units* and require attendance of all class meetings. Most importantly, they are assigned a CE advisor, who is generally a member of the academic affairs or student affairs divisions.

Note: Students who exhibit extremely poor academic performance (significantly below 2.00 term GPA) are subject to being advised or required to withdraw.

Early Semester

At the start of their CE semester, students are expected to communicate with their faculty advisor to discuss their course selections, so that they take a reasonable course load that balances academic and non-academic demands. Students should pay close attention to their CE conditions so that they do not overextend themselves in terms of units. *Any exceptions for course loads beyond 2.00 units should be discussed with and approved by their faculty advisor (and if necessary, the Dean for Academic Advising and Support).

At the start of their CE semester, students are also expected to set up regular weekly/bi-weekly meetings with their CE advisor. Early meetings focus on: planning the semester, reviewing course syllabi and deadlines, and highlighting key academic deadlines. Later meetings focus on: managing coursework; utilizing office hours and review sessions; connecting with faculty advisors and course faculty; balancing academic and allowed non-academic work; seeking counseling, health, financial, and/or other campus resources.

Mid Semester

Throughout the CE semester, course faculty are expected to submit progress reports for students on CE, which provide valuable information on student performance – both positive and negative. These reports are shared with students on CE, their faculty advisor(s), their CE advisor, their athletic coach(es) (if applicable), as well as key administrators and support staff across campus (noted above).

While students on CE are expected to monitor their course marks and consult with their course faculty regularly, progress reports provide formal documentation of academic performance, particularly areas of concern and recommended next steps. Upon receiving and reviewing progress reports, students on CE should connect with their course faculty, their faculty advisor(s), and their CE advisor to strategize about how to improve academic performance, including outreach to Student Accessibility and Support Services and other campus resources (as appropriate).

Late Semester

At the end of their CE semester, students, their faculty advisor(s), and their CE advisor are expected to comment on academic challenges and improvements noticed over the course of the semester. These statements, along with academic performance, contribute to the CE review process undertaken by the Committee on Academic Standards (CAS) at the end of every semester.

After the review process is complete, students on CE are apprised of their status: Good Standing, Continued on CE, Advised to Withdraw, or Required to Withdraw. Depending on their academic performance, students may be formally removed from CE, yet still monitored by CAS due to ongoing academic concerns.
